Freelance Project Quote Calculator
Enter hours, hourly rate and buffer to get the project quote.
Result
How it is calculated
The quote is a base price with a percentage added on top: base = H × R and quote = base × (1 + B ÷ 100), where H is your estimated working hours, R is your hourly rate in dollars and B is the buffer in percent. If you leave the buffer empty it is treated as 0%, so the quote equals the base. All values must be zero or more. The buffer applies to the whole base, so a 20% buffer adds a fifth of the base on top, not a fifth of the quote. The tool does not add tax, expenses, software costs or a deposit; add these separately if your client is billed for them.
Worked example
You estimate 60 hours of work at $75 an hour and add a 20% buffer for revisions. Base: 60 × 75 = $4,500.00. Buffer: 4,500 × 20 ÷ 100 = $900. Quote: 4,500 + 900 = $5,400.00, which is the same as 4,500 × 1.20. If the project goes exactly to plan you will be paid for 72 hours' worth of time (5,400 ÷ 75), so your effective rate for the 60 hours actually worked is $90 an hour.
Common mistakes
- Entering the buffer as a multiplier (1.2) instead of a percentage (20); 1.2 would add only 1.2% to the base.
- Estimating only the building time and forgetting meetings, emails, revisions and project management; those hours belong in the hours field.
- Using your hourly rate for the whole year's income target without counting unpaid time such as admin, marketing and sick days; the rate should already reflect that.
- Presenting the buffered quote as if it covered unlimited changes; define how many revision rounds are included, since the buffer is finite.
- Forgetting that this is before tax and costs: the tool gives a pre-tax project price, not your take-home pay.
About this calculator
A fixed-bid freelance quote is built from estimated hours × hourly rate, then padded with a buffer percentage that absorbs the scope creep and revision rounds almost every project accumulates once a client starts reviewing drafts. Skipping the buffer is one of the most common reasons freelancers end up working for less than their stated rate.
Independent developers, designers, and consultants use this kind of quote when a client wants a single all-in number rather than hourly billing, sizing the buffer — commonly 10-25% — to how well-defined the brief is: a vague brief warrants a bigger cushion than a tightly scoped one.
