Meeting Cost Calculator
See how much a meeting costs in salary time.
Result
How it is calculated
The tool prices a meeting as the time of all attendees: per hour = attendees × hourly rate, total = per hour × minutes / 60 and per minute = total / minutes. The hourly rate is an average for the group, in the currency shown by the tool (USD).
Attendees and minutes must be greater than zero and the rate cannot be negative. Use a loaded hourly cost, such as salary plus employer costs divided by working hours, if you want the real expense to the company; a gross wage alone understates it. The figure covers only the time in the meeting. Preparation, travel and the lost focus afterwards are not included.
Worked example
8 attendees at an average 45 per hour, meeting length 45 minutes. Cost per hour = 8 × 45 = 360. Total = 360 × 45 / 60 = 270. Per minute = 270 / 45 = 6. The tool shows a total of $270.00, $360.00 per hour and $6.00 per minute.
Common mistakes
- Entering the monthly or annual salary in the hourly field.
- Entering the length in hours (1.5) in the minutes field, which gives a meeting of 1.5 minutes.
- Forgetting to count yourself among the attendees.
- Using one average rate for a group where pay differs widely, such as an executive and trainees; the total can be far from reality.
About this calculator
This calculator converts a meeting into its real salary cost by multiplying the number of attendees, their average hourly rate, and the meeting's duration in hours. The result puts a concrete figure on time that's often treated as free.
Managers, operations leads, and productivity-minded teams use it to decide whether a recurring meeting is worth keeping, to justify trimming attendee lists, or to make the hidden cost of "let's hop on a call" visible before scheduling. Enter the number of people, their hourly rate, and the meeting length to see the total cost.
